This is a fully grant funded position.
This position provides the primary student/client contact and counseling support services for the Educational Opportunity Center TRIO Program.
Job Summary
Work is performed under the direction of the Executive Director. Assignments are in the form of general outline or desired results, with methods and processes expected to be developed and implemented as appropriate. Provides administrative support. Incumbents work in a setting of great complexity, continuously dealing with sensitive or controversial matters, having continual public contact, and ensuring that all activities under their control meet defined objectives.
Duties and Responsibilities:

Received as assists visitors, telephone call, and walk-in clients

Explains services, assists clients with completion of intake forms, and provide clients with information relating to services and financial aid forms, and routes clients to appropriate person

Inputs client data into computer and generates and distributes monthly and quarterly reports and charts for director and staff

Plans and organizes office and work flow activities to meet program objectives in a timely manner

Evaluates work procedures and methods to ensure quality, effectiveness, and efficiency of operations anticipates events, trends, consequences, and/or problems

Plans, drafts, and collects information for brochures, portfolios, presentations, and publications

Maintains various reference files, assembles and organizes data, and prepares necessary reports

Conducts clerical research and completes data for administrative and public reports, ensuring accuracy and completeness

Screens incoming calls and correspondence and refers to appropriate staff for action

Assembles relevant attachments or notes for instruction or disposition. Develops and administers operating records

Responds to difficult issues and citizen interests or complaints, exercising judgment in accordance with applicable regulations or policies

May be responsible for relieving switchboard operator or receptionist

Performs related duties as needed or assigned

Required Qualifications
- University graduation in business administration or related field
- Clerical/administrative experience beyond minimum required
- Five (5) years of clerical experience, three (3) of which must have included supervision, organization, coordination, and performance of duties at a responsible level
- Knowledge of modern office methods and procedures, filing, telephone techniques, and office equipment, as well as English usage, spelling, grammar, and punctuation
- Ability to maintain a good working relationship with all co-workers and the general public and to use good judgment in recognizing scope of authority
Preferred Qualifications
- Through knowledge of standard office procedures, effective practices and processes, and office equipment
- Ability to make independent decisions in accordance with established policies and procedures
- Ability to learn and use specialized language and technical terms
- Ability to prioritize, organize, and perform work independently and under pressure
Physical Requirements
Sitting in a normal seated position for extended periods of time; Reaching by extending hand(s) or arm(s) in any direction; Finger dexterity required to manipulate objects with fingers rather that with whole hand(s) or arm(s), for example, using a keyboard; Communication skills using the spoken word; Ability to see within normal parameters; Ability to hear within normal range; ability to move about.
